Call for Facilitator

This call is intended to engage a Facilitator for a TCA event titled “How accredited organisations can effectively evaluate the targets and objectives set out in their Erasmus plan” that will be held in Malta between 18-21 November 2025.

The aim of this cross sectoral seminar is to help and aid organisations with necessary tools on how to effectively ensure that the targets set in the Erasmus plan are successfully reached. Participants will also share good practices, common challenges and ways on how to address these challenges.

Expected Outcomes of the Seminar:

  • Enhanced Understanding of Erasmus Plan Implementation: Participants will gain practical tools and strategies to effectively achieve the targets outlined in their Erasmus plans.
  • Exchange of Good Practices: Attendees will share and learn from each other’s successful experiences and approaches.
  • Identification of Common Challenges: Participants will collectively identify common difficulties faced across sectors in implementing Erasmus plans.

The NA is expected to host 50 participants to this event, including representatives of National Agencies, experts in the field and MT NA Staff.

Profile of Facilitator:

  • Proven experience in designing, managing, and facilitating complex projects, strategic planning in E&T sectors;
  • Experience as a facilitator in KA1 with particular emphasis on the Accreditation action;
  • Experience in producing clear and concise reports, strategic recommendations and actions;
  • Strong background in participatory methodologies;
  • Experience with both online and in-person facilitation, including designing hybrid and multi-phase processes;
  • Experience and knowledge of group dynamics, inclusive dialogue, and ensuring the participation of diverse voices;
  • Previous work with European institutions, National Agencies or SALTO Resource Centres is a strong asset;
  • Fluent in English;
  • Strong skills in strategic design of organisational processes and planning and/or group facilitation and participatory methodologies;
  • Experience with the Salto Platform;
  • Skilled at navigating power dynamics, ensuring all voices are heard and respected;
  • Comfortable managing technical aspects for online meetings;
  • Experienced with strategic communication: crafting templates, summaries, and clear written outputs;
  • Ability to work collaboratively and adjust based on real-time feedback or emerging needs;
  • Organised and detail-oriented, with strong time and project management skills.

Tasks and approximate timeline

The facilitator is required to:

  •  Participate in the methodological preparation of the content together with MT NA;
  •  Facilitate the Face-to-Face event that will be held in Malta between 18-21 November 2025;
  • Participate in at least 6 online preparatory meetings with the speakers, NA staff and partners and facilitate a discussion to clarify roles, responsibilities, and expectations for the event;
  • Design a clear methodology, including proposed formats and facilitation technique for this event;
  • Develop the content, the agenda in collaboration with the TCA Officer;
  • Draft templates for invitations, follow-up emails, and other participant communications;
  • Recommend preparatory tasks for participants (such as reflection questions or pre-reading materials);
  • Prepare the survey for the participants;
  • Deliver the Final Report and outcomes report within one month after the event, showing the
     description and main information of the activity, the outcomes and the evaluation
     results;
  • Deliver the outcomes report prepared to be published on Salto;
  • Organise and facilitate the online meeting, managing both content and technical aspects (including breakout rooms, chat moderation, and participant management) presenting the final outcomes;
  • Ensure that feedback received from participants is acknowledged and transparently presented in the follow up meeting;
  • Facilitators are expected to arrive one day before the event to allow for preparation and coordination with the team.

 Application Process

Interested candidates are invited to complete the application form by August 15, 2025. Successful candidates will be notified of the results on 25th August.

Applications will be evaluated by MT NA based on the following criteria:

  • Relevant Expertise and Interest
  • Only complete applications that clearly address the required questions will be considered. Incomplete applications, or those that fail to respond to the required questions, will not be evaluated.

The detailed curriculum vitae in Europass format should highlight the academic qualification and experience related to the key area/s of competence. Applicants shall be informed of the selection results on completion of the evaluation process.
